The schematic below illustrates the life cycle of an event and how event statuses relate to each other

Draft When creating an event, users can save it as a draft if it's not ready for submission. District secretaries copying events from previous seasons will also create them in draft status. Only the creator, relevant district secretary, and global admins can see draft events.

Awaiting Approval Once submitted, an event's status changes to Awaiting Approval. This status allows district secretaries to review and approve the event. It is visible to the creator and all district secretaries so that other districts can see proposed event dates ahead of date fixing meetings.

Approved After district approval, the event status changes to Approved. By default it will remain unpublished, i.e. not visible on the website, until National admins have checked for compliance before setting it to Published or scheduling a publication date. Some events, like future national championships, may be published while still in draft.

Rejected If an event is not approved, its status becomes Rejected. Districts can later reinstate it to Awaiting Approval.

Open for Entries When the entry period starts, the system sets the status to Open for Entries, allowing riders to submit or withdraw entries.

Closed for Entries Once the entry period ends, the status changes to Closed for Entries. Organizers can then accept or reject entries. Riders can no longer withdraw their entries.

Startsheet Published After the organizer publishes the startsheet, the status updates to Startsheet Published. All entries must be accepted or rejected before this step.

Provisional Results Organizers can publish Provisional Results, especially in duration events or where electronic timing is used. Riders can review these results and raise queries before they become official.

Official Results Once confirmed, results are marked as Official. If a complaint is lodged, they can revert to Provisional until the issue is resolved.

Complete Events are marked Complete once all administrative tasks, such as deposits and levies, are finalized.

Cancelled Events that will not be rescheduled within the same year, including those started and abandoned, are marked as Cancelled.

Event Status Groupings:

  • Pending: Events not yet approved (Draft, Awaiting Approval).
  • Active: Approved live events (Approved, Open for Entries, Closed for Entries, Startsheet Published, Provisional Results, Official Results).
  • Finalized: Events needing no further action (Rejected, Complete, Cancelled).
