CTT's platform provides a flexible way for clubs to manage their club events to suit each club. Whilst club events should all be listed on the CTT website, clubs are free to choose which additional functionality they wish to use (or not), from online entries in advance, to publication of start times and / or results, and use of the forthcoming app-based timing system.

1. Club Event Entry Methods

Clubs can offer entries either on the day (with payment handled by the club) or in advance (via CTT’s online system or another external system).

Important: Clubs cannot use both CTT’s online entry system and an external system for the same event. If using an external system, entry method must be set to External.

Using CTT’s platform for event entry is optional but offers benefits, including:

  • Visibility of who’s riding (with or without start times) before the event.
  • Easy sharing of results on a dedicated event page.
  • Results displayed on each rider's profile.
  • Future automation of club competitions on CTT.

Unlike Open Events, clubs can change the entry method for a Club Event until entries close. To edit, access your event (🔗) and (1) update fields with a  icon, then (2) confirm with  

 

2. Club Event Entries

Online entries via the CTT platform allow club event administrators to:

  • Set the entry fee to zero if no charge applies.
  • Choose the opening and closing dates/times for entries as shown above.
  • Coming soon: Set a single-entry fee or different fees for members, non-members, and under-18s. 

Key rules:

  • Entry fees cannot be changed once entries open. (All club events default to a single-entry fee—update this before entries open if needed).
  • Once open, entries are automatically accepted on a first-come, first-served basis until the event reaches capacity.
  • If different fees apply for members/non-members, the system does not verify club membership; organisers may reject entries if needed.
  • The closing date can be extended only if the start list has not been finalised (🔗).
  • Provided the start list has not been finalised (🔗), on-the-day entries can be added manually to the paper sign-on sheet with payment handled in person. Organisers may also add these riders as manual entries in the system provided those riders are registered on the CTT website.

 

3. Club Event Start Lists

  • Online entrants are automatically accepted and appear on the event page immediately after completing their entry as shown below.

  • Organisers may create a provisional start list by assigning start numbers, visible to all on the event page. This can be done while entries are still open. To do so select the  button from the event screen (🔗) 
  • Then apply numbers directly to the grid as shown below. Start times will be allocated automatically. Rider number 1 will start 1 minute after the event's start time; rider number 2, 2 minutes etc. If (for example) you need a two-minute gap after rider 10, set the next rider off as rider 12.

  • Finalising the start list:
    • Finalising the start list prior to the event is possible but is not a requirement. See payouts (🔗) below. 
    • If on-the-day entries are allowed, the start list must remain provisional until after the event. Additional riders can be added manually post-event (if registered with CTT) or counted (🔗) without full entry details. Events with on-the-line entries can only be finalised via the process outlined in part 4 (🔗)
    • If on-the-day entries are not allowed, organisers may finalise the start list once all entries are in. Riders will receive an email with their start time. No separate start sheet upload is needed. The process to generate the start list in the system is the same as for Open events explained here (🔗)
    • Important: Once finalised, entries cannot be rejected for a refund, and no additional riders can be added.
    • When validated, the Finalise Startlist button will become active and turn green as shown below.

  • Start lists (provisional or final) will appear on the CTT website event page and can be shared on social media. Organisers can also download a pre-populated sign-on sheet. To do so select the  button from the event screen (🔗); select the  button and choose Signing on Sheet.

 

4. Publishing Club Event Results 

  • Results can only be published for registered riders on the CTT platform.
    • Online entrants are automatically registered.
    • On-the-day entrants must be manually added, but only if they have a CTT account.
  • Important: Confirming the Enter Results pop-up screen shown here Finalises (🔗) the event, meaning no additional riders can be added. Manual entries for registered riders must be added before confirming this screen
  • To publish results:
    • Select  from the event screen (🔗)
    • You will be asked to confirm the course the event was run on, and the total number of riders. This is critical for calculation of levies.
    • Enter each registered rider's result directly on screen or import results (🔗) from a spreadsheet.
    • When validated, the  button will become active and turn green. Click to publish.
  • Results will appear on the event page (CTT website), on rider profiles and are easily shareable on social media.

 

5. Fee handling and Levy Reconciliation

  • Payout of Online Entry Fees
    • Payouts are made after the start list is finalised, which in many cases will be after the event. They cover total online entry fees minus levies for all riders (registered or otherwise). If negative, they must be settled at end of season as explained below.
    • Clubs must set up a Stripe-connected account (🔗) linked to their bank, which must be done by the club's treasurer or the person managing the club's bank account. 
    • Payouts are made to the club's Stripe connected account and may be manually transferred to the club's own account at any time by the treasurer. To do this access your club's connected account (🔗) and select

  • Club Event Online Entry Admin Fee
    • Each online entry incurs a 35p admin fee (paid by the entrant).
  • Club Event Levy Reconciliation
    • Clubs must pay outstanding levies to their district treasurer at season end.
    • Where there are sufficient funds from online entries, levies are deducted before payout to the club.
